Informing the development of OUCS services

Currently OUCS gathers feedback on its services predominantly through the help center and through direct contact with members of the University at for instance committee meetings. This feedback tends to be negative and from people who understand OUCS services. The CRT aims to first make contact with members of the University that have had little previous contact with OUCS and then orchestrate the gathering together and analysis of all quantitative and qualitative information. This analysis will be presented to the UST to inform decisions regarding the types of projects that need to be initiated to improve OUCS services. The overall goal of the CRT is to enable OUCS to work with members of the University in designing OUCS services. To achieve this the following process diagram has been created to illustrate a sequence of activities that can be used to work with members of the University.

  1. Analysis of interview scripts to define and document requirements or problem domains within the University.

  2. Structured interviews to gain in-depth knowledge of a specific problem domain. Target is 10 interviews.
  3. Analysis of these interviews to create succinct statements of problem (requirements) and map these to potential technological solutions
  4. Workshop to demonstrate and gather feedback from users on the tools that have been short-listed. Target is 30 registered participants.
  5. Facilitate ongoing experimentation with tools while users are back in their respective working environments e.g. laboratories, offices. This phase should also be used to gather substantial amounts of information of the fit of the tools with the problem domain. Same 30 participants but extend more widely if there is interest.
  6. If any tools are candidates for OUCS hosting then a detailed analysis needs to be undertaken in terms of (i) security; (ii) identity management; (iii) accessibility and usability; (iv) costing of installation and hosting
  7. A final survey is needed that measures the level of support for a tool being hosted by OUCS. As broad as possible but an optimal level of interest that is indicative of an appropriate level of interest in a tool needs deciding by the UST.
  8. Findings presented to UST who make a decision whether to initiate a project to install and host the service at OUCS
  9. Project to install, host and advertise the service
  10. There is to be a continuous process of finding out more about the way people with different roles work within the University. Through conducting semi-structured interviews.
